1. Who we are
This website is run by Lifamech Ltd, a company registered in England and Wales with company number 16422760, whose registered office is at 1-75 Shelton Street, London, WC2H 9JQ, United Kingdom (“Lifamech”, “we”, “us”). We are the controller of the personal data described in this policy, under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
If you have any questions about this policy or your data, email us at info@lifamech.com.
2. The data we collect
When you contact us
When you send an enquiry through our contact form, or send an outline from the Build your AIOS planner, we collect the details you enter. Depending on the type of enquiry this can include your name, work email address, phone number, company name, company size, company website, the service you are interested in, your message and, for the planner, the options you selected. Please do not include sensitive or confidential information in your message.
When you use the AIOS planner
The choices you make in the planner are processed in your own browser. They are not stored or sent to us unless you choose to send them using the form on that page.
When you browse the website
Like most websites, our hosting provider automatically records technical information when pages are requested, such as your IP address, browser type, the page requested and the date and time. This is used to keep the website secure and working, for example to stop abuse of our contact form.
We do not currently use analytics or advertising cookies. See our Cookie Policy.
3. How we use your data and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and, if you ask, preparing a proposal | Taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us |
| Keeping a record of our correspondence with you | Our legitimate interest in managing our business and dealing with any later questions |
| Keeping the website and contact form secure, including rate limiting and spam prevention | Our legitimate interest in protecting our website and users |
| Meeting legal and regulatory obligations | Legal obligation |
We will not add you to a mailing list or send you marketing because you made an enquiry. If we would like to do so, we will ask you first.
4. Who we share it with
We do not sell your personal data. We share it only with:
- our website hosting provider, which runs the servers this website uses;
- our email provider, which delivers enquiries from the website to our inbox;
- professional advisers such as our accountants or lawyers, where needed; and
- authorities, where we are required to by law.
These providers act on our instructions and must keep your data secure.
5. International transfers
Our providers may process data in the UK or the European Economic Area, which the UK recognises as providing adequate protection for personal data. If data is transferred anywhere else, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
We keep enquiries and related correspondence for up to 2 years after our last contact with you, unless you become a client, in which case we keep records for as long as needed for the contract and for legal, tax and accounting purposes. Technical logs are kept for a short period by our hosting provider for security purposes.
7. Your rights
Under data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is inaccurate or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data, or object to our use of it;
- ask for your data in a portable format; and
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email info@lifamech.com. We will respond within one month. There is normally no charge.
8. Security
The website uses an encrypted connection (HTTPS), enquiries are sent by the server rather than from your browser, and access to enquiries is limited to the people who need it to reply.
9. Complaints
If you are unhappy with how we have used your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection: ico.org.uk/make-a-complaint or 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
