Problems it solves

Does this sound familiar?

Problem 01

“We copy details from emails and invoices into our systems by hand.”

Problem 02

“Tasks sit in someone's inbox until they remember to pass them on.”

Problem 03

“Approvals take days because we keep chasing people to sign off.”

Typical use cases

Where it helps

Use 01

Document processing

Reads invoices, forms and delivery notes and pulls out the details you need.

Use 02

Data entry automation

Moves information from emails, forms and files into your systems without anyone retyping it.

Use 03

Task routing

Sends each new request to the right person or team, based on rules you set.

Use 04

Approval workflows

Collects sign-offs in the right order and keeps a record of who approved what, and when.

How we deliver it

Four steps, one at a time

  1. STEP 01

    Map the task

We follow the task as it is done today, step by step, including the awkward exceptions.

  2. STEP 02

    Automate one flow

We automate the repetitive steps of a single workflow and keep a person for approvals.

  3. STEP 03

    Test on real cases

We run it on real documents and requests from your business before you switch over.

  4. STEP 04

    Hand over, then extend

Your team gets training and documentation, and we add the next flow only once the first has proved itself.

Example

A purchase request with an approval step

How a request could be checked automatically, sent to a manager to approve and recorded, with everyone kept up to date.

Practical details

What it takes

What we need from you

  • A walk-through of the task with the person who does it today
  • Sample documents, such as invoices or forms, with sensitive details agreed in advance
  • Access to the systems the workflow will connect
  • Your approval rules, and who handles exceptions
  • One person to own decisions and give feedback

Timing

Each automated workflow usually takes 1 to 2 weeks; projects that connect several systems take 3 to 8 weeks.

Good to know

  • A person still approves key decisions and handles exceptions; the automation takes over the repetitive steps.
  • Unclear scans or handwriting may need a person to check what was read.
  • Each extra system connection adds time and cost, so we agree the list early.
Technical details (for technical readers)
  • Multi-step workflows with human-in-the-loop approval: the system pauses for a person to confirm before key actions.
  • OCR (optical character recognition) reads printed documents, and an AI model extracts the fields you need.
  • Integrations with Xero, QuickBooks, Sage, Microsoft 365, Google Workspace, HubSpot and Salesforce, plus custom APIs.
  • Single sign-on, role-based access and audit trails that record who did what and when.
  • Exception queues: items the system is unsure about wait for a person to review.
