S-01 · AI Assistants
Stop answering the same questions over and over
An AI assistant answers questions from customers and staff using only the business information you approve. People get a clear answer when they need it, and your team stops repeating itself.
Problems it solves
Does this sound familiar?
“My team answers the same questions all day instead of getting on with their work.”
“Our information is spread across shared drives, inboxes and people's heads.”
“New starters keep interrupting colleagues to ask how things are done here.”
Typical use cases
Where it helps
Website assistant
Answers visitors' questions about your services, opening hours and policies, at any time of day.
Internal knowledge assistant
Helps staff find answers on holiday, expenses, procedures and policies without asking a colleague.
Document Q&A
Lets your team ask about clauses, dates or obligations in long documents such as contracts and tenancy agreements.
Task-specific assistant
Supports one job, such as drafting replies or checking a request against your policy.
How we deliver it
Four steps, one at a time
- STEP 01
Gather approved content
We collect the documents and answers the assistant may use, and agree what it must never discuss.
- STEP 02
Set the rules
We agree its tone and the point at which it hands a question to a person.
- STEP 03
Test with real questions
We try it on questions your team actually receives and correct any answer that is wrong or unclear.
- STEP 04
Launch and keep it current
It goes live on your chosen channel, and your team learns how to update what it knows.

Practical details
What it takes
What we need from you
- Your approved answers, FAQs, price list and policies
- The documents it may use, and any it must not
- The person who should receive questions it cannot answer
- One person to approve answers and give feedback promptly
Timing
Most assistants take 2 to 4 weeks. The usual cause of delay is waiting for content, so we ask for it on day one.
Good to know
- It only answers from information you approve; when it is unsure, it hands over to a person.
- Its answers are only as current as your content, so someone must update it when prices or policies change.
- It is not a general chatbot; it stays within the subjects you set.
Technical details (for technical readers)
- Retrieval-augmented generation (RAG): before answering, the assistant looks up the relevant passages in your approved documents, so replies stay grounded in your content.
- Channels: website chat, WhatsApp, Microsoft Teams or Slack, internal tools and voice.
- Role-based access: staff only receive answers from documents their role is allowed to see.
- UK or EU data hosting available where your data requires it, agreed during discovery because it shapes the architecture.
